Human Resources & Payroll Administrator
Position Overview
Clear Water Academy is accepting applications for the position of Human Resources and Payroll Administrator. This role is responsible for the effective management of payroll, employee contracts, employee benefits, pension administration, and human resource functions for the school. This position supports faculty and staff by ensuring accurate payroll processing, compliance with employment standards, administration of employee benefits, and management of Alberta Teachers’ Retirement Fund (ATRF) pension reporting and contributions for teaching staff.
The successful candidate will uphold the values and mission of the Catholic school community while maintaining confidentiality, professionalism, and a high level of service to employees.
This part-time position will begin immediately.
Responsibilities & Requirements
Responsibilities
Payroll Administration
- Process payroll for all school employees, including teachers, support staff, and administration.
- Maintain accurate payroll records, earnings, deductions, vacation pay, and statutory remittances.
- Ensure compliance with federal and provincial payroll legislation and employment standards.
- Prepare and submit payroll-related reports, T4s, Records of Employment (ROEs), and year-end reconciliations.
- Administer payroll changes including new hires, terminations, salary adjustments, leaves, and benefit deductions.
ATRF Pension Administration
- Administer Alberta Teachers’ Retirement Fund (ATRF) pension reporting and contributions for eligible teaching staff.
- Ensure accurate tracking of pensionable service and salary information.
- Process enrolments, terminations, leaves, and adjustments related to ATRF participation.
- Liaise with ATRF representatives regarding reporting requirements, audits, and employee inquiries.
- Maintain compliance with ATRF regulations and deadlines.
Benefits Administration
- Administer employee group benefits programs for all eligible employees.
- Coordinate benefit enrolments, changes, terminations, and annual renewals.
- Assist employees with benefits inquiries and claims-related issues.
- Reconcile monthly benefits invoices and ensure accurate deductions and remittances.
- Maintain employee benefits records and confidential files.
Human Resources Support
- Maintain employee personnel records and HR documentation.
- Assist with recruitment, onboarding, orientation, and offboarding processes.
- Support administration of employee contracts, policies, and procedures.
- Assist school leadership with HR compliance and employee relations matters.
- Ensure confidentiality and secure handling of sensitive employee information.
General Administration
- Prepare reports and correspondence related to payroll, benefits, and HR functions.
- Support audits and provide required documentation as needed.
- Collaborate with school administration and finance personnel to support operational needs.
- Contribute positively to the Catholic faith-based environment and school mission.
Reporting Structure
The Human Resources and Payroll Administrator is a member of the Business group and reports to the Business Manager.
Qualifications
- Post-secondary education in Human Resources, Payroll Administration, Business Administration, or a related field.
- Payroll Compliance Practitioner (PCP) designation or working toward certification is considered an asset.
- Experience with Canadian payroll systems and HR administration.
- Knowledge of Alberta Employment Standards, CRA payroll regulations, ATRF administration, and employee benefits programs is considered an asset.
- Strong organizational, communication, and problem-solving skills.
- High level of accuracy, discretion, and attention to detail.
- Proficiency with payroll software, Microsoft Office, and HR information systems.
- Experience in an educational or non-profit environment is an asset.
Working Environment
- Part-time, year-round position in a school office environment.
